Subject: Going Google! ** Migration Details **

As mentioned in our previous announcements we will be migrating over to Google G Suite on Monday 3rd December. Here is some key information to help you prepare for the Go Live date.

Your Migration Date

Your migration period begins on the evening of Friday, 30th November. The migration will then complete by Monday 3rd December.

From the Friday evening you will need to use your new G Suite account. From this point onwards all new email will be sent and received from Gmail.

Gmail will already contain all your emails from up to 14 months ago or up to when your archive period is set (whichever is less).

Company mobile devices will be set up with Gmail access by the Friday evening.

Please note that if you use Gmail between the Friday evening and Monday morning, you may be missing emails from the last two months, as they sync across. You may also be missing some Contacts and Appointments until the transition has completed by the Monday morning.

If you will be working late on Friday or over the weekend, you will need to refer to your Groupwise account for the missing Contacts and Calendar items via mail.roccofortehotels.com, but please use your G Suite account to send any new Calendar invites. This is important, as there is a high likelihood that an invitation sent from your GroupWise calendar would not be received.

Email Tidy Freeze!

To avoid any differences between your GroupWise and Gmail at go-live, please do not file/move/archive/delete any GroupWise emails/contacts/appointments received before xxx.

Messages received since xxx can be filed/moved/deleted/etc as normal and sending/receiving new messages remains as normal.

What Will Be Migrated

We're migrating your GroupWise data as follows:

  • Emails - anything un-archived or up to 14 months old from your GroupWise mailbox, including Cabinets/Sub-Folders and Sent Items ==> Gmail.
  • GroupWise Archives and emails older than 14 months will be backfilled after the Go Live date (you will still have temporary access via GroupWise until completed).
  • All appointments (past & future) from your GroupWise Calendar ==> Google Calendar.
  • All contacts in your GroupWise account ==> Google Contacts.

If you haven’t already, please sign up for the Google training sessions outlined in our previous email. Here is a reminder:

1) G Suite Basics

Gmail, Google Calendar/Contacts & Google Hangouts/Chat

2) Going Google with Rocco Forte Hotels

Logging in to your account, what will happen on migration day, Google Drive vs Shared Drive & support resources available

Classroom training session or 1-2-1 (run by your local IT Managers)

3) Getting to know Google Docs, Sheets & Slides

Google Doc, Sheets & Slides (vs Word, Excel & Powerpoint)

2 hours

Remote training session (Google trainer via Google Hangouts)

All Team Members - Advised


Click HERE to book training sessions 1 & 3. To book training session 2, please speak to your IT Manager.

It is very important that you attend at least training sessions 1 & 2 in order to prepare you for the migration day.
